Front Office Coordinator: REF/FOC/04/18

Key Duties and responsibilities

 Establish accurate, honest and positive relationship with internal and external customers.
 Facilitate smooth admission process and financial clearance for both cash and credit patients.
 Advise and supporting all staff and managers across the hospital in identifying issues relating to the effective discharge of patients from hospital.
 Bridge the gap between staff and patients by ensuring timely and accurate customer service.
 Ensure all admissions documents are available and meet requirements.
 Oversee and ensure that the pre-authorization of clients’ bill is done within 24 hours.
 Liase closely with the clinical staff to facilitate effective bed management.
 Ensure that discharge patient files are submitted to billing/dispatch at the end of each shift, with all supportive documents.
 Ensure up to date reconciliation of pending and unbilled report with the billing department
 Co-ordinate collaboration with Doctor's Office to ensure timely processing of doctors’ bills.
 Manage the patient flow and ensure customer feedback is managed promptly.
 Ensure seamless and efficient customer service delivery at all cash points.
 Conduct continuous training for the front office staff that ensures consistent customer care standards and telephone.
 Facilitate customer service induction programs for new staff.
 Ensure that client queries and disputes are resolved and answered as soon as possible.
 General management of front office staff, schedule shifts and monitor the handover process from shift to shift.

Qualifications, skills and Experience:
 Bachelor of Commerce degree, Business Administration or any other finance related field.
 5 years working experience in front office operations in a busy department preferably in a service industry. 2 years being in a supervisory position.
 Timely and accurate customer service.
 Excellent communication and people skills
 Good organizational and multitasking abilities
 Problem-solving skills
